- Greet office visitors, answer phones
- Data entry: assist in maintaining the organization's contact database and mailing lists
- Monitor and report Artist Registry and Directory activity
- BAC Gallery Support including maintaining data spreadsheets and contacting artists as well as other related duties, as necessary
- Attend and assist with BAC Gallery openings, events and First Thursday programs
- Assist with special Visual Arts projects
- General administrative duties and programmatic support as needed, including filing, assisting with mailings, meeting room set-up and general office duties
Requirements:
- Proficient in Microsoft Office Suite
- Database experience
- Excellent communication skills
- Highly organized and detail oriented
Preferred Qualifications:· Interest in arts and/or knowledge of Brooklyn arts scene preferred
· Bachelors degree or MFA degree candidate preferred

Job Description
Heart of Brooklyn (HOB) seeks a highly motivated individual to play a key role in a high-profile initiative funded in part by the Institute of Museum and Library Services, as part of its National Leadership Grants program, and by the Rockefeller Foundation. The anticipated duration of Building Strong Community Networks is through August 31, 2013.
The Project Coordinator will play a substantial role in facilitating and supporting the various work components of the initiative, working closely with HOB staff and a team of consultants, including the Center for the Study of Brooklyn, Institute for Learning Innovation and WolfBrown, with the ultimate aim of strengthening the collective impact of the six HOB cultural institutions.
Over its 2-year grant cycle, Building Strong Community Networks aims to help Heart of Brooklyn and its community partners develop a new "collaborative muscle" to strengthen cultural partnerships and tie them more strongly to the communities they serve. The initiative includes an assessment of each HOB partner’s nonfinancial assets and community connections, an analysis of the programming processes used by each organization, and the design and implementation of a new collaborative approach to community listening and programmatic responsiveness. The process will yield several reports for national dissemination.
Primary Responsibilities and Duties
* Liaise and facilitate information-sharing among member organizations as well as members of the larger cultural community
* Schedule all convenings and stakeholder discussions
* Grants administration throughout the life cycle of the grant (ensuring compliance with federal and organizational guidelines, administration of contracts, monitoring timelines, financial reporting, etc.)
* Coordinate/support all project communication including email distribution, blog, web pages and social media, in collaboration with HOB Director and Communications Manager and with project partners
* Assist with preparation and delivery of reports and meeting materials
* Provide general support to HOB Director and member institutions, including scheduling meetings, drafting documents, gathering information, and answering inquiries
* Perform any other project related duties as directed
* Depending on the skill set of the successful candidate, the Project Coordinator may be assigned to assist with specific research tasks, such as conducting focus group discussions, or researching collaborative programming initiatives around the world.
Qualifications
Bachelor’s degree required (Master’s preferred). Background in non-profit arts and culture organizations, community engagement and public administration/policy/planning or related field.
Preferred Skills
* Excellent oral and written communications; strong presentation skills; detail-oriented
* Ability to coordinate and communicate with a wide range of stakeholders
* Project management in related field a plus
* Qualitative research skills, including internet research
* Knowledge of the borough of Brooklyn
* Computer skills, including social networking platforms (such as Google Groups, Facebook Pages, Twitter and YouTube). Familiarity with Mac applications, Salesforce, and WYSIWYG web publishing interface a plus
* Strong interpersonal/customer service skills
* Ability to work independently & multi-task
